A Free, Downloadable Excel Invoice Template
This tool gives you a working Excel invoice template without opening Excel first. Fill in your business and client details, add line items, and it totals everything for you. Then download a spreadsheet file that opens straight in Microsoft Excel, Apple Numbers or Google Sheets, or print it to PDF.
The download is a CSV file, which every spreadsheet app reads, so it works the same whether you are on Windows, Mac, a Chromebook or a phone.
How to Use It
- Enter your details — business name, who you are billing, invoice number, date, tax rate and currency symbol.
- Add line items — each row has a description, quantity and unit price. Use + Add line item for more rows.
- Check the totals — the subtotal, tax and total due update as you type.
- Download or print — click Download spreadsheet (.csv) to get a file for Excel, or Print / Save as PDF for a finished PDF.
Worked Example
A consultant bills for two items:

- Subtotal = 1,140 + 240 = $1,380.00
- Tax at 10% = 1,380 x 0.10 = $138.00
- Total due = 1,380 + 138 = $1,518.00
Those same figures appear as labelled rows at the bottom of the downloaded spreadsheet.
Spreadsheet Download vs. PDF
- Download the spreadsheet when you want to keep editing in Excel: add formulas, change a quantity, apply your own styling, or save it as a reusable .xlsx workbook.
- Save as PDF when the invoice is final and you only need to email it.

What file format does it download?+
It downloads a CSV (comma-separated values) file with a UTF-8 byte-order mark, which Excel, Numbers and Google Sheets all open directly as a spreadsheet with each value in its own cell. CSV is the most universal spreadsheet format and works on every device.
How do I open the downloaded file in Excel?+
Double-click the downloaded .csv file and it opens in Excel with the invoice laid out in rows and columns. You can then format it, add formulas, save it as an .xlsx workbook, or print it from Excel.
Does the template calculate tax and totals?+
Yes. The subtotal is the sum of quantity times unit price for every line, tax is the subtotal times your tax rate, and the total due is subtotal plus tax. The downloaded spreadsheet includes those totals as rows.
Can I also save it as a PDF instead of a spreadsheet?+
Yes. Click 'Print / Save as PDF' to open a clean print view, then choose 'Save as PDF' in your browser's print dialog. Use the spreadsheet download when you want to keep editing in Excel.
