How the Free Invoice Generator Works
This invoice generator turns a list of products or services into a clean, itemized invoice with all the math done for you. Enter your business name, the client you are billing, an invoice number and a currency symbol, then add one row per item with a description, quantity and unit price. The tool instantly computes each line total, the subtotal, the tax, and the final total due.
The Formula
For each line item:
Line total = quantity × unit price
Then the invoice totals are:
Subtotal = Σ (line totals) Total due = (Subtotal − Discount) + Tax + Shipping
where Tax = (Subtotal − Discount) × tax rate%. Applying tax after the discount means the customer is taxed on the amount they actually pay.
Worked Example
Suppose you bill a client for one website design at $1,200 and two hosting setups at $75 each, with an 8.25% tax rate, no discount and no shipping:
- Line 1: 1 × $1,200 = $1,200.00
- Line 2: 2 × $75 = $150.00
- Subtotal = $1,200.00 + $150.00 = $1,350.00
- Tax = $1,350.00 × 8.25% = $111.38
- Total due = $1,350.00 + $111.38 = $1,461.38

Tips for Getting Paid Faster
- Set clear terms such as “Net 15” or “Due on receipt” so the client knows when to pay.
- Itemize clearly — a vague single line invites questions and delays payment.
- Send promptly — invoicing the day work is delivered shortens the payment cycle.
- Use a consistent number scheme so you and your client can reference invoices easily.

Frequently asked questions
How do I calculate the total on an invoice?+
Multiply quantity by unit price for each line, add the line totals to get the subtotal, subtract any discount, then add tax (subtotal-after-discount times the tax rate) and any shipping or fees. The result is the total due. This generator does that math automatically as you type.
Is tax applied before or after the discount?+
On most invoices, tax is applied after the discount, so customers are taxed on what they actually pay. This tool subtracts the discount first, then calculates tax on the reduced amount. If your jurisdiction taxes the pre-discount amount, set the discount to zero and adjust the line prices instead.
What should every invoice include?+
A complete invoice shows your business name and contact details, the client name, a unique invoice number, the issue date, an itemized list with quantities and prices, the subtotal, tax, total due, and payment terms or a due date. Adding a logo and a thank-you note makes it look more professional.
Is this invoice generator really free?+
Yes. You can add unlimited line items, set any currency symbol, tax rate, discount and shipping, and see the totals instantly with no sign-up. To save or send the invoice, use your browser's Print to PDF option from the worked example panel.
How do I number my invoices?+
Use a sequential scheme such as INV-1001, INV-1002, or include the year like 2026-001. Keeping numbers unique and consecutive helps with bookkeeping, makes invoices easy to reference, and is expected by most accounting systems and tax authorities.
