How the Receipt Generator Works

This tool builds a clean, itemized sales receipt and calculates the totals for you. Enter the store name, a receipt number and currency symbol, then add one row per item with its quantity and unit price. Set the tax rate and the amount tendered, and the receipt instantly shows the subtotal, tax, total and any change due.

The Formula

For each item, the line total is quantity × unit price. The receipt totals are:

Subtotal = Σ (line totals) Tax = Subtotal × tax rate% Total = Subtotal + Tax Change due = Amount tendered − Total

Worked Example

A customer buys 2 lattes at $4.50 each and 1 croissant at $3.25, with a 7% tax rate, and pays with a $20 bill:

  • Lattes: 2 × $4.50 = $9.00
  • Croissant: 1 × $3.25 = $3.25
  • Subtotal = $9.00 + $3.25 = $12.25
  • Tax = $12.25 × 7% = $0.86
  • Total = $12.25 + $0.86 = $13.11
  • Change = $20.00 − $13.11 = $6.89

How do I make a receipt?+

List each item with its quantity and unit price, multiply quantity by price to get a line total, add the line totals for the subtotal, add tax, and that is the amount due. If the buyer pays cash, subtract the total from the amount tendered to find the change. This generator does every step instantly.

What is the difference between an invoice and a receipt?+

An invoice is a request for payment sent before money changes hands, while a receipt is proof that a payment has already been made. A receipt typically shows the items bought, the total paid, the date, and how the customer paid, but it does not include payment terms or a due date.

How is change due calculated on a receipt?+

Change due equals the amount the customer hands over minus the receipt total. For example, if the total is $16.49 and the customer pays with $20, the change is $20 - $16.49 = $3.51. If the amount tendered is less than the total, the customer still owes the difference.

Does a receipt need to show tax?+

In most places a sales receipt should separate the pre-tax subtotal from the tax charged so the buyer can see how much sales tax was applied. Businesses also need this breakdown for bookkeeping and to remit the correct tax to the authorities.
